General Instructions
To access your voicemail box, dial 1725, press *89 or press the ETC phone key button (found at the bottom of your phone) while the handset is in the cradle.


If you are sitting at your own phone, you will be prompted to enter your password followed by the pound key. If this is the first time you are accessing your mailbox, a tutorial will play, directing you to set up your mailbox and change your password. The tutorial is covered in more detail below. The next time you enter your mailbox, of course put in your new password.

If you are calling from off-campus, dial (949) 936-1725. You will hear a "cover" phrase that welcomes you to the system and allows you to either access your own mailbox or call someone directly. Hit the pound key (#) and you will go to the VoiceMail system. You will be prompted to enter your mailbox extension. Do not hit pound! Then enter your password, this time followed by the pound key. You do not have to wait through all of the system prompts; you may interrupt and enter the next piece of information at any time.

Listening to Messages
When you enter your mailbox, you will first be told how many new messages you have received, the number of saved messages and the number of deleted messages you have stored.

If you have messages, you will be presented with one or two options (depending on whether you have any saved messages):

  • Press 1 to listen to your unread messages
  • Press 2 to listen to your saved (read) messages

 

You'll hear other options not pertaining to messages; those items are covered later.

Of course, you won't hear these two options if you have no new or no saved messages. If you have at least one message and press 1, your message will play.

You will then be presented with the following options:

  • Press 1 to listen to the message again
  • Press 2 to skip (this means the message will be saved actually)
  • Press 3 to delete the message (the message is actually moved to a deleted folder and remains there for 3 days)
  • Press 4 to reply to the message
  • Press 5 to forward the message
  • Press 6 to hear the time and date of the message
  • Press 0 to reach the operator
  • Press * to return to the main menu
  • Press # to skip without changing the read status (when you next enter VoiceMail, this message will indicate whatever its status was previously, whether unread, saved or deleted)

Main Menu Options
Besides listening to messages, you are presented with other mailbox options. These are:

  • Press 3 to send a message
  • Press 4 to access the options menu
  • Press 5 to change your status (log in or out)
  • Press 6 to listen to deleted items (you will only hear this option if you have deleted items)
  • Press 7 to browse folders (this option only applies to integrated mail so it will not function)
  • Press 8 to autoplay your messages
  • Press 9 to listen to active features
  • Press 0 to return to the Auto Attendant (the "cover" phrase lady)
  • Press * to disconnect
  • Press # to set a wake-up call


Press 4 to reach your greetings menu. The other options are described more fully in the complete guide to voicemail at the Irvine Campus. Many of the options, however, are self-explanatory.

Recording your Greetings
You must record your greeting or the system plays a default greeting that is very generic. To reach the greeting menu, select 4 at the main menu (the options menu).

You are then presented with the following options:

  • Press 1 to go to the Record Prompt menu (Greetings Menu)
  • Press 2 to go to the Notification menu
  • Press 3 to reach the Call Transfer menu
  • Press 4 to auto forward messages
  • Press 5 to create a distribution list
  • Press 9 to change your password
  • Press * to return to the Main Menu

The other options are covered in the complete guide. To record your greetings, press 1. Now your options are:

  • Press 1 to record personal greetings
  • Press 2 to record busy greetings
  • Press 3 to record gone home greeting
  • Press 4 to record name prompt
  • Press 5 to record optional greetings
  • Press 6 to set active greetings
  • Press * to return to the Options Menu


You are encouraged to record the first 4 items. The tutorial will step you thru all 4 of them.

  • The personal greeting is played by the system whenever you are "logged in". Your status of logged in or out is set from the Main Menu by selecting 5. You should log in whenever you are at your desk and log out when you leave for the day.
  • The busy greeting plays automatically whenever your phone is busy.
  • The gone home greeting plays whenever you are "logged out".


The personal and gone home greetings should include your name and extension number, asking callers to leave a message at the beep. The gone home greeting should include some phrase that indicates that you are not in your office. You can include your office hours if you wish. The busy greeting should simply state your name, extension and that you are currently on the phone.

You should also record your name. This should be simply your name and your extension. The system uses this recording whenever callers are searching for someone by name and also to confirm selections.

You may record optional greetings if you wish; you are able to record up to 99 greetings. To have the system play one of your optional greetings, you would record the greeting and then at the Record Prompts Menu you would press 6 to set the active greeting.

Tutorial
If your mailbox has not been set up already, when you first dial into your mailbox and enter your password, you will automatically start the tutorial. Be sure not to hit the pound key while doing the tutorial, except when directed, as you will the exit the tutorial.

The first option you will set will be your password. The password should be changed to ensure privacy. Please be aware, however, that once you change your password, we are unable to "see" what your password is and we would have to reset it to the default.
You are then asked to record your personal greetings. This includes the 3 mentioned above: the personal greeting that plays when you are in your office, the busy greeting that plays when your line is busy, and the gone home greeting that plays when you log out. The tutorial will step you through each part of this process.

Finally you are asked to record your name. The system uses this to identify you to outside callers and internal users who send you messages.
