It provides a centralized platform for communication and work, moving beyond individual apps to a connected ecosystem for teams of all sizes.

What is Google Workspace?

Google Workspace (formerly G Suite) is a collection of cloud-based productivity and collaboration tools for businesses.  It offers secure storage (Drive), communication (Meet, Chat), and content creation (Docs, Sheets, Slides, all integrated for seamless teamwork with enterprise-grade security. It provides a centralized platform for communication and work, moving beyond individual apps to a connected ecosystem for teams of all sizes.

Who is eligible for Google Workspace?

Google Workspace is available for active faculty and staff members, and currently enrolled students. Students must be registered for classes in order to access the software.

What is my login information for Google Workspace?

Your username for Google Workspace is your CSUF email address and your password is your CSUF Portal password. 

Students: username@csu.fullerton.edu

Faculty/Staff: username@fullerton.edu

What is included with my Google Workspsace subscription?

How do I access my Google Workspace Gmail account?

Your CSUF Google Workspace account does not have a Gmail account.  The campus uses Microsoft Outlook as its email service.  

How much storage do I get for Google Drive?

Faculty/Staff get 100 GB and Students get 15 GB of Google Drive storage.

How do I use my departmental/administrative account for Google Workspace?

Departmental/administrative accounts are not eligible for a Google Workspace account.

Can I access my Google Workspace directly from Google instead of going through the CSUF Portal?

Yes you can.  For the username make sure you enter your full campus email address i..e @csu.fullerton.edu (students) or @fullerton.edu (faculty/staff).  You will then be redirected to the CSUF Microsoft Authentication login screen where you will need to enter your CSUF username & password.

Students: What will happen to my Google Workspace files when I graduate?

You will only be able to access your Google Workspace for nine months after you have graduated.  An email will be sent to students 30 days before it gets disabled and will have instructions on how you can back up your data.

For students who graduated 2008 or later, you will still have access to your CSUF email and Portal as these are not part of the Google Workspace, provided you have setup your Microsoft 2FA.

You can use Google Takeout to backup your data.

Faculty/Staff: What will happen to my Google Workspace files when I leave CSUF?

Once you separate from CSUF, your Google Workspace account will be disabled and you will no longer have access to any files stored in it. Before your final day, make sure to back up any files you wish to keep. If you own documents that colleagues still need, transfer ownership to another member of your department to ensure continued access.

You can use Google Takeout to backup your data.

Faculty/Staff:  I changed my username, now I can't see my Google Workspace files.

If you changed your username/CSUF email address - please open a ticket with the CSUF IT Helpdesk to have your files transferred from your old account to your new account.

I am graduating and now becoming an employee. How can I transfer my files from my student account?

You won’t be able to directly transfer files from your student Google Workspace account to your employee Google Workspace account because they are hosted on different domains. You can use Google Takeout to back up your data and then manually upload the files to your employee account.  

Graduating students must complete their backup within nine months of graduation, as access to the student account — including all files — will be removed after that time.

I am leaving my employee position but will be enrolled as a student. How can I transfer my files from my employee account?

You won’t be able to directly transfer files from your employee Google Workspace account to your student Google Workspace account since they are on separate domains. You can use Google Takeout to back up your data and then manually upload the files to your student account.

Employees must back up their files before their final day of employment, as access to the employee account will end at that time.
