Campus Cell Phone Program

The Campus Cell Phone Program is intended to support university business operations. All devices and service plans must comply with campus purchasing, support, and security standards.

General Policies & Procedures

These policies apply to all mobile device and wireless service requests.

Business Use

University-issued mobile devices and services are intended for conducting University business. Users are expected to comply with all applicable University policies regarding acceptable use of technology resources.

Request Requirements

  • A ServiceNow request is required for all mobile device and wireless service transactions.
  • Email requests alone will not be processed.
  • Requests must include department approval.
  • Please allow a minimum of three (3) business days for request processing.
  • Information Technology reserves the right to approve or deny requests based on business need, eligibility, funding, and support standards.

Device Procurement

  • All devices must be purchased through the University's approved procurement process.
  • IT will issue equipment from existing inventory whenever possible.
  • If inventory is unavailable, a new device will be ordered.
  • Device replacements and upgrades are subject to funding availability and eligibility requirements.

Mobile Phones

Eligibility

Mobile phones are issued when an employee's job duties require reliable voice and data communication outside of a traditional office environment.

Requests require:

  • Department approval
  • Business justification

Supported Devices

Information Technology currently supports:

  • Current Apple iPhone models
  • Up to two previous iPhone generations

Campus Funding

  • The maximum campus-funded device cost is $199.
  • Campus-funded phones must be Apple iPhones.
  • Employees may not pay the difference to purchase a higher-priced model.
  • Devices exceeding the campus-funded limit are not eligible through the Campus Cell Phone Program.

Phone Numbers

  • Personal phone numbers cannot be transferred or added to the campus cellular account.
  • Every campus-issued phone receives a campus-managed telephone number.

Warranty & Replacement

Manufacturer defects are covered under Apple's one-year limited warranty.

Replacement requests for lost, stolen, damaged, or upgraded devices are reviewed based on eligibility, funding, and departmental approval.

Tablet Data Service

Eligibility

Tablet data service is available when there is a demonstrated business need for cellular connectivity to support University work.

Support

  • IT provides cellular data service for approved University-owned devices.
  • Cellular data service is intended for temporary or approved business use and is not a replacement for a permanent internet connection.

Hotspots

Eligibility

Mobile hotspot service is available when there is a demonstrated business need to provide internet connectivity while conducting University business away from campus.

Support

The mobile hotspot feature is intended for University business use and is not a replacement for a permanent internet connection.

MiFi Devices

Eligibility

MiFi devices provide mobile broadband internet for laptops and other compatible devices when wired or campus wireless access is unavailable.

Support

  • MiFi devices are for temporary use only and should not be used as a replacement for regular internet service. Please include both a start date and an end date when submitting your request.
  • Requests require business justification.
  • Devices include an active campus cellular service.
  • MiFi devices remain University property.

Travel Pass

Eligibility

Travel Passes provide temporary international cellular service for employees traveling on official University business.

Requirements

  • A ServiceNow request is required.
  • Business justification is required.
  • Submit requests at least 72 business hours before departure to ensure activation before travel.
  • Travel Passes are intended only for approved University travel.

SIM Cards (UPD Only)

Eligibility

SIM card requests are limited to authorized University Police Department (UPD) personnel and department-owned equipment.

Support

Requests require department approval and must be submitted through ServiceNow.

Wearable Devices

Eligibility

Wearable devices are available only for positions approved by the University based on operational or safety requirements.
