IT and Admin & Finance divisions work together to purchase, receive, tag, track, and dispose of Campus equipment.

Campus Equipment Inventory

Once equipment is purchased or obtained, it must be assigned an asset tag and entered into the Campus inventory system. This process includes ongoing monitoring and audits throughout the equipment's lifecycle. When the equipment reaches end-of-life, becomes irreparable, or is no longer in use, it must be disposed of properly in accordance with established protocols.

Asset Tagging

All IT-related equipment and user devices purchased either by IT or individual departments—including laptops, desktops, printers, tablets, cameras, iPads, scanners, and mobile phones—must be inventoried and recorded in the IT ServiceNow database. This inventory must be accessible by the LSAM office for audit purposes.

Your Equipment Responsibilities

You are required to verify all equipment assigned to you. If any changes are necessary, please inform your Department IT Coordinator (DITC) or follow the instructions outlined in the Self-Assessment User Guide.

Equipment Disposal

Department purchased equipment will be assesed by local techs to ensure items are properly cleared of any Campus / personal data. 

When equipment is disposed of, any hard drive / data storage must be removed and disposed of separately.  To speed up the process use the e-data sanitation form

Complete the form and drop off drives to IT rollout and the devices can be dropped off to IT Asset Management.  We are located next to each other in the library basement.

All retired IT type items will follow the LSAM office procedures are to be Disposed by the Asset Management Office.

  • Ensure the items are properly wiped/reset/unlocked (clear out any personal data).
  • Helpdesk/rollout to change the status of the items in our data base from installed to retired or in-stock (depending if item(s) are still usable or not. 
    • If retired then the items can delivered to IT inventory department PLS-086.
    • If the item(s) are still usable then rollout may keep items for redeployment or brought back to IT asset management to be placed back into available stock. 

Disposition

  • Item is beyond repair and/or aged out
  • Items can be dropped off to IT asset management on Tuesdays and Fridays during the regular business hours.

Adding to Campus database - All IT type items that are asset tagged must be entered into the service-now data base for asset tracking.

Reporting Lost, Stolen, or Broken Equipment

What should you do?

Log on to service now self service and fill the "report  lost stolen form".

Contact the IT Helpdesk immediately by calling (657) 278-7777

Additionally, if your device is lost or stolen we ask that you fill out a loss form and a police report in the event of a theft.  

Who pays for the equipment loss?

All clients issued an iPad or laptop must sign an end user protocol sheet.

In section I of that sheet it states that:

“It is the faculty/staff member’s responsibility to take appropriate precautions to prevent damage to or loss/theft of his or her iPad/laptop. CSUF/IT will not repair or replace this iPad/laptop unless the cost of repair/replacement is paid by either the Department or the individual user.”
