Telephone Features Guide

STE Feature Codes

The CORTELCO ISDN telephone is a multi-button instrument with total hands-free capability and button assignment versatility. It has control capability for ringer volume, display contrast, audio volume, and distinctive rings. Function/Feature buttons are arranged in groups of six with a six-segment Liquid Crystal Display (LCD) located adjacent. Each LCD segment displays a circle or triangle as an indication of the state of the corresponding button (idle, busy, in use, etc.). STE (analog) users can utilize many of the associated Intecom feature codes, as shown in ( ) after a sub-title.

The following symbols are found on the telephones during specific operations. The symbols are described as follows:

Phone Components and Buttons

Message Display
Displays date and time, incoming and outgoing call information and call stats

Arrows icon

  • During phone set-up operation, the arrow buttons are used to change fields and to confirm changes you have made.
  • The arrow buttons are used during a call to adjust headset/ handset, or speaker volume.

 

Menu
The MENU button is used to select options for phone set-up including: date and time set, LCD display contrast, ringer tone and loudness, and handset/headset operation

 

Speaker
The speaker is located under the handset. When your phone is configured for HEADSET in the Menu you will not receive audio over the speaker. When your phone is configured for HANDSET in the Menu and the handset is in the cradle, you can receive audio over the speaker by pressing the SPKR button.

Speaker Activate (users without headsets)

  • With handset in cradle, press idle Line Appearance.
  • Dial tone will be heard over speaker.
  • Speaker LCD will display a dot.
  • Line Appearance 1 LCD will display a closed triangle.

Speaker Deactivate (users without headsets)

  • Press the SPKR or RLSE button.
  • Speaker LCD dot will extinguish.
  • CA1 LCD will display an open triangle.

 

Mute
Mute button controls the feature that prevents a voice from being picked up by the microphone. (You can hear the other party; they cannot hear you.) This feature can be used with either the SPKR button or the handset. Press the MUTE button once to activate and press again to disconnect.

Menu
Use the preassigned buttons and the Message Display on your ISDN telephone to adjust the indicated features. Except for Date and Time Set, features that you adjust will not change, even after a loss of power at your telephone. These options are not available on analog (STE) phones.

Notes:

  • If a call is received while you are adjusting a feature, you may continue programming. However, be aware that the line appearance will not flash if you are in the button inspect or speed dial menus. The call will not ring if you are in the ring level type menu (the ringer will already be active). No call-related information will be displayed until you exit the menu system. You can automatically exit the menu system and answer the call by lifting the handset or pressing the SPKR button if the call was selected for automatic answer.
  • To exit a selection menu without saving any changes, press the RLSE button.

 

For the following selection procedures, the telephone handset must be in the cradle and the speakerphone must not be active. With the handset in the cradle (on-hook), press the MENU button once. The window next to the MENU button displays a closed triangle. The windows for the UP and DOWN arrow buttons display a closed triangle or a closed circle. The display shows the selection menu; the lower line indicates the current selection, similar to the following:

Use the UP and DOWN arrow buttons to scroll until the message for the desired selection is shown in the bottom line of the display.

  • Wait a few seconds, or press the MENU button once. The display shows the menu for the selection. If you hesitate too long at a particular menu, you may end up having that menu selected for you instead of the one you desired. Be sure to immediately press the UP and DOWN arrows to move to your desired selection.

 

Date and Time
To set the date and time, press the MENU button. Use the UP and DOWN arrow buttons to move to the date and time set menu. Wait a few seconds. The following appears:

Use the UP and DOWN arrow buttons to change the values in the highlighted field. The date and time entries are set in the following order: AM/PM, hours, minutes, month, year, and date. The time may be set in 12-hour or 24-hour format. For the 12-hour format, enter AM or PM following the time entry. Leave the spaces blank for the 24-hour format.

Note that if you see two asterisks (**) in the AM/PM field, the clock has not been set.

After the value in each field is set, press the MENU button to save the entry and move to the next field. After the entire date is entered, press the MENU button to save the date and exit this menu.

Viewing Incoming Call Information
This menu shows information about the calls you received. You must set up this feature before you are able to use it. To select the type of information to be saved for viewing:

  • Select the call information menu. With this feature, you can select which incoming call information will be saved for later viewing using the View Information Menu.

  • If necessary, use the UP and DOWN arrow button to change the message in the top line of the display to Select Type of Storage.
  • Press the MENU button or wait for the display to change
  • Use the UP and DOWN arrow buttons to scroll to one of the following choices: None, Unanswered Only, Answered Only, or All.
    1. Select None to cancel recording of call information.
    2. Select Unanswered Only to save unanswered call information.
    3. Select Answered Only to save answered call information.
    4. Select All to save information for all incoming calls.

  • When the preferred choice is in the top line of the display, press the MENU button to save the choice and exit this menu.

To display call information:

  • Select the call information menu.
  • If necessary, use the UP and DOWN arrow button to change the message in the top line of the display to View Information.

  • Press the MENU button. The top line of the display shows information about the most recent call. A blinking cursor in the right-most position in the top line of the display indicates that the message has not been viewed before.

 

Note that a typical Display Message shows the Line Appearance button number, the calling or called number, the date and the time of the call, and the call status: Answered, Unanswered, or Answered * (answered at another telephone).

When the telephone is idle with no incoming calls, the top line of the display will show the number of unanswered incoming calls that were saved but have not been viewed. A typical display would appear as follows:

  • Use the UP and DOWN arrow buttons to scroll through the displayed messages. Use the MENU button to delete the currently viewed entry.
  • To exit, scroll to the last or the first message. The message 'Exit: Press Menu Button' is displayed.
  • Press the MENU BUTTON.


Message Display Contrast

To adjust the display contrast:

  • Select the display contrast menu.
  • Use the UP and DOWN arrow buttons to adjust contrast of the Message Display.
  • Press the MENU button to save your choice and exit this menu.

 

Ringer Level & Type Select
To set the ringer level:

  • Select the ring level select menu and wait for the telephone to ring.
  • Use the UP or DOWN button to adjust ringer loudness.
  • Press the MENU button to save your choice and exit the ring level select menu.

To set the ringer type:

  • Select the ring type select menu and wait for the telephone to ring.
  • Use the UP or DOWN arrow button to adjust ringer tone.
  • Press the MENU button to save your choice and exit this menu.

 

Speed Dial (or AutoDial)
This is not the same as Abbreviated Dial. AutoDial is programmed by the user to dial just one particular number that is frequently called. To use this feature, you should have buttons assigned on your phone specifically as Speed Dial, or AutoDial, buttons. However, you are able to assign AutoDial to any button on your phone.

To assign a speed dial number to a button, do the following steps:

  • Press the MENU button. Select the menu speed dial entry. For each button currently programmed as a speed dial number, the associated window displays a dot. The message '>Press button to Program' is displayed.

  • Press the button to be programmed. The window next to the selected button displays a closed triangle. The message '>Enter desired number' is displayed. If the button is already programmed to dial a particular number, the stored number will be displayed.

  • Use the keypad to enter the desired digits. The first digit entered clears the top line of the Message Display. The digit is displayed. The cursor moves to the next position each time a digit is entered. The cursor can be repositioned using the UP and DOWN arrow buttons. Enter your desired phone number, including 9 and the area code as necessary. (The number can be an off- or on-campus number.)
  • When the speed dial number has been entered, press the MENU button to save the number. The prompt '>Press button to program' is displayed. You may assign a speed dial number to another button or exit the menu system. To exit, press the MENU button at the prompt. The window next to the selected button goes dark.
  • Press the AutoDial button associated with the number to test it out.

 

Caution!!!
Please be careful when you are programming AutoDial numbers. Be sure you assign a number to the button on your phone that you intended. You are able to create an AutoDial button for any button on your phone and thus could have problems if you accidentally chose your second line appearance, for example.

To remove an autodial number:

  • Select the speed dial entry menu. When it asks you to select a button to program, select the button you wish to un-program.
  • Using the up and down arrows, move the cursor to the far left of the screen (it should be in front of the number on the speed dial). Press the MENU button.
  • The auto dial entry is now removed.

 

Notes:

  • A pause of from 0 to 99 seconds can be inserted anywhere in stored number. To enter a pause, press the HOLD button and dial the pause duration (0-99). The pause will be represented as [XX] in the display, where XX is the pause duration. A digit or pause can be deleted by moving the cursor to the digit or pause position and pressing the HOLD button.
  • A pause takes up one of the 23 characters in the stored number. If a pause is encountered during dialing, the telephone stops dialing until the call is answered, and then pauses the specified number of seconds. Digits sent after the pause will be sent as tones.
  • The cursor should be to the right of the last digit when the MENU button is pressed to save a speed dial number. If not, only the digits to the left of the cursor will be saved. When required, positioning the cursor to the extreme left and pressing the MENU button can erase a number.

 

Handset/Headset Select
The majority of users will set their phone to handset. Headset is used for those who regularly use headphones. To set the telephone for headset or handset operation, select the handset/headset menu.

  • Use the UP and DOWN arrow button to select >HEADSET or >HANDSET.
  • Press the MENU button to save your choice and exit this menu.

Note that in the headset-operating mode, the hookswitch is no longer functional. Instead, the SPKR button is used to signal off-hook or on-hook. The handset is not connected; it may be in or out of the cradle.

Button Inspect Menu
This menu will let you know what is programmed for each button on your template.

  • Select the button inspect menu.
  • Press the MENU button. The top line of the display shows the message '>Press Button to Inspect'.
  • Either select individual buttons to display their assigned functions, or use the UP or DOWN arrow buttons to scroll through the assigned buttons. The LCD segment for the selected button displays a closed triangle. If the button is not assigned, the message'>Press Button to Inspect' will be displayed. The button's Directory Number, local Speed Dial, or supplementary service feature description will be identified as a Feature Appearance or a Line Appearance button. An applicable message will be displayed.

 

Using Features and Feature Codes

Many features on this system can be accessed either by having a particular button designated as a feature button or by dialing a feature code. Users with STE phones are able to use the feature codes. If a feature can be accessed with a feature code, that code is displayed in parentheses next to the description of the particular feature. Note the restrictions on its use, if applicable, will be detailed in the description.

Abbreviated Dial (#4 + storage number)
Abbreviated Dial can store up to ten frequently used phone numbers and assigns each a number a single digit (0-9) Storage Number. The phone number will then be dialed automatically. This is not the same as AutoDial or Speed Dial, which stores only one number that you frequently dial. Phone numbers are stored in conjunction with a directory number. Each directory number on a phone may store up to 10 destination numbers.

To store or change a number:

  • Press an idle Line Appearance for the extension under which you wish to store a phone number.
  • At the dial tone, press ABVD or #4.
  • Press the * button and any button 0-9 for the storage number. Dial the phone number you wish to store, including 9 and the area code as necessary. On- or off-campus numbers can be stored. Numbers can be up to 28 digits long.
  • Hear the confirmation tone.
  • Hang up. Be sure to write down the abbreviated dial storage number and its corresponding telephone number.

To dial a stored number:

  • Press any idle Line Appearance for the extension on which you have stored your phone numbers.
  • At the dial tone, press ABVD, or #4, and enter the storage number for the phone number you wish to dial.

 

Call Forward (*3)
Call Forward will program your extension to automatically redirect incoming calls to ring at another number. Each line (extension) on your phone is forwarded and canceled separately. Manually forwarding your calls will override any Call Forward Busy or Call Forward No Answer that is already programmed into the telephone system.

Here's how to turn Call Forward on or off:

  • Press an idle Line Appearance or Speaker button of the extension you wish to forward.
  • When you hear the dial tone, press CFWD (or *3) and hear confirmation tone.
  • Dial the extension you wish to forward to. If you wish your calls to go directly into VoiceMail, dial 2525.
  • You will hear another confirmation tone and the CFWD button will display a dot. The display will also indicate that calls are forwarded.
  • To turn call forwarding off, press an idle Line Appearance of the extension that was forwarded.
  • When you hear the dial tone, press the CFWD button or #3.
  • The CFWD button will no longer display a dot.

 

Call Park
Call Park places a call in a temporary type of hold for a preset time limit of three (3) minutes. You can retrieve the call at the same phone or any other phone on the system. For example, you are speaking with a caller and need to check a fact. Park the call, go to the reference area, and pick up the caller from a phone in that location. Notice you do not need to know the extension you will be going to retrieve the call from. You only need to know the PARK NUMBER. You can use the feature code if you have an STE phone; otherwise, you must have the button on your phone to access the feature.

To park a call:

  • Press CALL PARK (or *9) with a call in progress
  • Listen for voice prompt giving the PARK NUMBER
  • Write down the PARK NUMBER; you may then place or receive other calls with no problem.

To retrieve a parked call:

  • Press idle Line Appearance for dial tone.
  • Dial the PARK NUMBER to retrieve the call.
  • You are now connected to the previously parked call.

 

Call Pick Up (#7)
This feature allows you to answer a phone at another desk that is ringing, using your own phone. You must belong to a call pick up group that includes the extension of the other phone you wish to answer, as well as your own. A maximum of 32 lines can be included in any one pick up group. Members of a call pick up group can pick up any other member's ringing telephone.

To pick up a call:

  • Press Line Appearance 1 for dial tone.
  • Press CALL PICKUP (or #7) and speak to the caller on your phone.
  • CALL PICK UP LCD displays a dot.

 

Conference (Flash #1)
The CONF button allows a user to add additional parties to a call in progress. Use the flashhook on an STE phone.

To Conference (using Line 1, Line Appearance 1)

  • With a call in progress on your primary line's first appearance, press CONF button. This places your caller on hold and selects the second line appearance. You'll hear a dial tone.
  • Dial the next party's number. When the party answers, press the first line appearance. The conference call is now established.

If you wish to add more people, again press CONF. Everyone else is put on hold and the second line appearance will be selected. You'll hear a dial tone. Repeat step 2. Up to seven people can be conferenced at once; however, no more than four external parties can be members of the conference.

If You Misdial:

  • Press the RLSE button.
  • Press the original Line Appearance with original call holding.
  • Press CONF again and repeat normal Conference steps.


Do Not Disturb (*6)
This feature will temporarily block incoming calls without affecting your ability to place calls. In order to be able to use this feature, you must have the proper port assigned to your phone. Contact your Department Technology Coordinator if you wish to enable this feature.

To activate Do Not Disturb:

  • Press Line Appearance 1 for dial tone. Press the DO NOT DISTURB button or *6 to activate. The DO NOT DISTURB LCD displays a dot if you have this button on your phone.


To deactivate Do Not Disturb:

  • Press the DO NOT DISTURB button or #6 to deactivate. The DO NOT DISTURB LCD dot will extinguish.

 

Hold (*4) (Red Button)
This allows the user to place the call in progress on hold. A call in progress is also put on hold automatically when a user presses XFER (Transfer) or CONF (Conference). To place a call on hold, simply press the HOLD button or press *4. The line appearance LCD will flash with open and closed triangles to remind you. To retrieve a call from hold, press the line appearance again. The line appearance LCD will display a closed triangle, as usual.

Intercom
To use this feature, you must have an INCM button on your phone and you must belong to an intercom group. This then allows you to place and answer internal calls from members of your Intercom group. To place an intercom call, press the INCM button. Dial an intercom number (0-9 for a 10-member group; 00-99 for a 100-member group). To answer an intercom call, simply press the INCM button. Intercom calls ring differently than regular phone calls so that you can tell which line to answer. Your INCM LCD display will also flash when there is an incoming call.

Privacy Release
The Privacy Release feature button can temporarily remove privacy on an extension and allow other parties to join the conversation. It allows up to seven users sharing the same extension number to temporarily join a conversation on the extension. All phones that share an extension have privacy activated. This means that if a user is on a particular extension, no one else with access to that extension may pick up their own phone and listen in. At certain times, however, a user may wish to allow others to participate in a conversation. You must have a privacy release button on your phone to access this feature. This is not the same as a conference call, which involves parties on different extensions and phone numbers.

Before using Privacy Release:

  • Ask other party(s) to join the call on your extension.
  • Press PRIVACY RELEASE, while in a conversation.
  • Talk with original party and others on the joint extension.
  • To cancel privacy release, press PRIVACY RELEASE.

 

Redial (#9)
Allows user to press one button (REDIAL) to automatically redial the last internal or external number dialed.

To redial:

  • Press Line Appearance associated with an idle line for dial tone.
  • Press REDIAL button or #9.
  • The last dialed internal or external number is automatically dialed and the LCD will display that number.

 

Transfer
To transfer a call from your PRIMARY or FIRST Line Appearance

  • From conversation, press XFER. The caller is automatically placed on hold.
  • Dial desired destination number.
  • Press XFER a second time.

 

Note that you may announce the call by remaining on the line until the dialed party answers. Announce the call, then press XFER a second time.

If you have a multi-line phone, again you would first press XFER to transfer a call. If your prime line is available, the system will use that line appearance for the transfer. If it is unavailable, press the next line appearance below the line you answered the call on. You will hear a dial tone if you have chosen correctly. Dial the desired extension and press XFER again.

Misdialed Transfer
If you misdial or wish to retrieve a call:

  • Press the RLSE button.
  • Press blinking Line Appearance.

 

To transfer directly into voicemail (without ringing at desk)

  • Press the XFER button
  • Dial 6525
  • When prompted, enter the four digit extension you wish to transfer to followed by the # sign (i.e. 2492#).
  • Immediately press the XFER button again as the greeting will begin and you're done.


VoiceMail Direct Access (*5)
The VoiceMail button gives the user direct access to his or her personal voice mail box, where the user can review and send messages. It's the same as if you had dialed 2525. Either press the button marked VoiceMail on your phone or press *5. You will not need to enter your extension, only your password.
